CheckAuto 1in.pt — Privacy Policy

Effective date: 6 October 2026.

Operator and contact

CheckAuto 1in.pt is an internal vehicle inspection app operated by Strong Theory Unipessoal LDA, NIPC 519 255 780, Portugal. For privacy questions, access or deletion requests, contact [email protected] or +351 933 033 393.

Access and information processed

The app is for authorized company staff. An administrator issues employee accounts; there is no public registration. We process the employee login, display name, role and session credentials to authenticate staff, manage access and attribute inspection work.

Staff enter vehicle identification and inspection information, including registration numbers, VIN, vehicle specifications, measurements, findings, notes and diagnostic information. They may photograph vehicles and registration documents, attach files and create PDF reports. These records can contain personal information visible in photographs or documents, or entered in notes. Staff should record only information needed for the inspection and avoid unnecessary information about people.

If the user chooses to record the inspection location and grants iOS location permission, the app records the location of that inspection. It does not request continuous background location tracking.

Storage and synchronization

Inspection records and attachments are stored on the device. After company sign-in, the app synchronizes inspection records and attachments with the company server over HTTPS according to the app's synchronization workflow. Authorized company staff can access records according to their account permissions. Session credentials are stored in the device Keychain.

We use this information to carry out and document vehicle inspections, generate reports, synchronize work, manage staff access and support the service. The app does not contain advertising, advertising identifiers or third-party analytics SDKs, and inspection data is not used for advertising tracking.

Optional features and external services

Vehicle and document text recognition uses Apple's on-device Vision framework. Camera access is requested when taking photographs.

Optional dictation requires microphone and speech-recognition permission. It uses Apple's Speech framework, preferring on-device recognition when available. Network fallback may send speech to Apple's speech-recognition service. The resulting text becomes part of the inspection record; the app does not save a standalone audio recording for this feature.

Optional report translation sends inspector-written comments, recommendations, checklist context and severity through the company server to OpenAI's API. Photos and registration documents are not sent for this translation. The app asks permission for each translation operation and can create reports with original comments if permission is refused. Standard built-in checklist labels and predefined report phrases are translated locally.

Optional diagnostic explanations send extracted fault codes, nearby text and vehicle model details to the configured AI service. Photo text recognition runs on the device; the image itself is not sent for these explanations. Before analysis, the app shows the configured provider hostnames, including any fallback destination, and asks permission for that operation. Existing company configurations can use OpenAI directly or the XRelay intermediary. If no provider is configured, no external AI explanation is requested. Staff can attach diagnostic reports and record findings manually.

When an employee opens or imports a diagnostic report link, the report's website receives the normal network request. When an employee shares a PDF or exports a backup, the chosen recipient or service receives the selected file through the iOS sharing workflow.

Retention, deletion and permissions

Local inspection records remain on the device until removed through the app or the device's app-data controls. Signing out does not erase existing inspection records. Removing local data does not by itself erase copies already synchronized to the company server or shared with a recipient.

Server inspection records, photographs and backups are retained until deleted by the company administrator or following a deletion request. There is no automatic expiry period. Requests concerning server records, account closure, copies already shared or backups should be sent to the company contact above. If applicable law requires a record to be retained, the company will explain the reason and applicable retention period. Copies already shared with recipients may be subject to their own retention practices.

Camera, microphone, speech-recognition and location permissions can be changed in iOS Settings. Refusing an optional permission prevents that feature from working; inspection data can still be entered manually.

Rights and changes

Contact the company to request access, correction or deletion of personal data, or to raise a privacy concern. Applicable data-protection rights and complaint channels are described in the company privacy policy. We will maintain the current app policy at its published URL and make it accessible from the app.
